Naviant Custom Report Services Bundle #1

The first Naviant Custom Report Services bundle for OnBase is here! The bundle is packed with 45 reports based on customer feedback and our own desire to make auditing tasks easier. Some are alternate views of Hyland’s canned reports, such as Monthly Scanned Documents (or Pages) by scan queue or workstation. Others are completely new, such as Document Counts by Document Type (or File Type) or Document Actions Count by User. Cross-Referenced Document Types

This report displays the basic settings for all cross-referenced document types.

Disk Group Volume Summary

This report identifies the current volume number for each mass storage copy, how many volumes are currently online and the maximum allowed online by disk group. A Max Volumes Online value of zero means the disk group copy is set for infinite volumes.

Document Actions Count by Document Type

This report shows the number of documents created, viewed, deleted, undeleted, pages added or deleted, and revisions or renditions added by document type for a given date range.

Document Actions Count by User

This report shows the number of documents created, viewed, deleted, undeleted, pages added or deleted, and revisions or renditions added by user for a given date range.

Document Counts by Document Type

This report shows the number of documents in the system by document type.

Document Counts by File Type (Bar Chart)

This report graphs the number of documents in the system by file type.

Document Date Out of Bounds

This report identifies documents with a document date in the future or more than 100 years in the past (impacted by a two-digit year century window adjustment).

Document Migration Identification

Lists the documents in a specified disk group, whether they are still active in the system or awaiting purge. The report is meant to identify documents in need of migration to a different disk group. Specifying a date range to limit processing impact on the server is highly recommended.

Document Migration Identification Page Count

Counts the number of pages in a specified disk group by document type. The report is meant to assist with identifying documents in need of migration to a different disk group.

Document Process Time per Queue in Hours

This report describes minimum, maximum and average time that documents reside in a workflow queue (Processing Time). Processing calculations are based upon the queue entry and exit times of a document.

Document Process Time per Queue in Hours Since Creation

This report describes minimum, maximum and average time that it takes documents to get through a workflow queue since creation. Processing calculations are based upon the date stored in OnBase and queue exit times of a document.

Document Type Overlay Options

This report displays the overlay option settings for each document type where they are configured.

Document Type Unrestricted Query Warnings

This report lists the Unrestricted Query Warning setting by document type.

Document Types Never Viewed Count

Lists the number of documents in the system that have never been viewed by document type.

Document Types Viewed Count

Lists the number of views on documents by document type for a given date range with an option to filter by user.

Document Types with Override Privileges

This report displays the document type override privileges assigned to user groups.

Documents Exported Count by Document Type

This report shows the number of documents exported, mailed, and printed by document type for a given date range.

Documents Exported Count by User

This report shows the number of documents exported, mailed, and printed by user for a given date range.

Documents Resident per Queue (Date Range)

This report describes the number of documents residing in a queue since a given date range. Documents are defined as residing if they have not transitioned out of the specified queue. The report allows you to identify documents that have been in a queue for more than X number of days.

Envelope Documents

This report lists the documents contained in envelopes by envelope and user.

Envelope Sharing

This report lists the sharing permissions on envelopes by envelope and envelope owner.

File Format Configuration

This report displays the file format settings for all file types.

Folder Actions Count by Folder Type

This report shows the number of folders created, viewed, deleted, and documents added or removed by folder type for a given date range.

Folder Actions Count by User

This report shows the number of folders created, viewed, deleted, and documents added or removed by user for a given date range.

Keyword Actions Count by Document Type

This report shows the number of keywords added, deleted, modified (via re-index or changing the document date), and viewed by document type for a given date range.

Keyword Actions Count by User

This report shows the number of keywords added, deleted, modified (via re-index or changing the document date), and viewed by user for a given date range.

Monthly Ingested Documents by Method (Bar Chart)

Displays the number of documents brought into OnBase via ad hoc import, scan/sweep, COLD, or DIP for a given date range.

Monthly Scanned Documents by Scan Queue (Bar Chart)

This production-based report provides a monthly summary of the total number documents scanned through a given scan queue within a specified date range. The report reflects the total number of documents scanned, regardless of whether the documents are still active within the system.

Monthly Scanned Documents by Workstation (Bar Chart)

This report provides a visual monthly summary of the total number of documents scanned at a specified workstation within a specified date range. The report reflects the total number of documents scanned, regardless of whether the documents are still active within the system.

Monthly Scanned Pages by Scan Queue (Bar Chart)

This production-based report provides a monthly summary of the total number pages scanned through a given scan queue within a specified date range. The report reflects the total number of pages scanned, regardless of whether the pages are still active within the system.

Monthly Scanned Pages by Workstation (Bar Chart)

This production-based report provides a monthly summary of the total number pages scanned at a specified workstation within a specified date range. The report reflects the total number of pages scanned, regardless of whether the pages are still active within the system.

Note Actions Count by Document Type

This report shows the number of notes created, viewed, modified and deleted by document type for each note type for a given date range.

Note Actions Count by User

This report shows the number of notes created, viewed, modified and deleted by user for each note type in a given date range.

Orphan User Groups and User Accounts

This report lists the user groups that do not have any users assigned and active user accounts that do not have any user groups assigned.

Peak License Usage by Hour

Displays the maximum number of licenses consumed during the specified reporting period for each tracked license type. This information can be used to evaluate if additional licenses may need to be purchased.

Print Format Configuration

This report displays most of the settings for all print formats. Default paper source / size and barcode settings are excluded.

Reading Group Admin View – All Revisions

This report displays a view of documents for each user in a reading group for all revisions, even if the user is only able to view the current revision.  Drag the column headers to group by documents or users.

Records Management Documents Awaiting Approval

This report lists the documents awaiting approval to be purged or destroyed.

Registered Products by Workstation (Complete)

Lists all registered products by the workstation assignment including concurrent licensing by workstation and product type. This can be useful for auditing license assignment as well as locating unused or orphaned licenses from expired workstations.

User Group Security Keywords

This report displays security keywords assigned to user groups.

User Logins by Workstation and Date

This report shows which user accounts logged into which workstations within a given date range.

User Metrics

This report lists basic user account metrics (user name, real name, email address, locked/unlocked, last logon, last password change) for all active user accounts.

User Permissions (User Aggregate)

Lists the combined security configuration and feature access of the selected OnBase User for all user groups of which the User is a member.

User Permissions (User Group Aggregate)

Lists the combined security configuration and feature access of the selected User Group.

User Security Keywords and Indexing Limits

This report displays security keywords and indexing limits assigned directly to user accounts and security keywords applied to users from user group membership.
